SuiteCal ("we," "us," "our") operates suitecal.com and related services (collectively, the "Site"). This Privacy Policy explains how we collect, use, and share your personal information.
1. Information We Collect
- •Account data. Name, email address, phone number, and password you provide when registering.
- •Usage data. How you interact with the Site, including pages viewed and actions taken.
- •Calendar & booking data. Appointment details, calendar events, and related metadata you create or manage.
- •Payment data. Billing information (for example, a credit card token) processed by our payment provider, Square. We do not store full card numbers.
- •Website analytics data. We use Google Analytics 4 and Microsoft Clarity to understand how users interact with our marketing website, including page views, traffic sources, campaign performance, session recordings, heatmaps, and usage patterns.
- •Campaign attribution data. UTM parameters and related click identifiers (for example, gclid, fbclid, and msclkid) may be collected from landing page URLs and used to measure which channels and campaigns drive account creation intent.
- •Product analytics data. We use PostHog Cloud to analyze user behavior within our web application, including feature usage, user journeys, and product performance metrics.
- •SMS & messaging consent data. Mobile phone number, text messaging opt-in consent records, and related preferences you provide when consenting to receive appointment-related text messages.
- •Client data you enter. Personal information you enter about your own clients to run your business, such as their names, phone numbers, email addresses, appointment history, and lifetime spend. See Section 2 for how this client data is handled.
- •Client photos and images. Photos and images you upload, including before-and-after gallery photos of your work, that you attach to client records and appointments. These images are stored as part of your account content.
- •Intake forms, client notes, and e-signatures. Intake forms you create, notes you type about your clients, and e-signatures you collect. E-signature data is collected and stored as part of intake and consent records.
- •Device identifiers and push tokens. If you enable push notifications, we collect a device push token from Apple Push Notification service (APNs) or Firebase Cloud Messaging so we can send notifications to your device.
2. Data You Enter About Your Clients
SuiteCal is a tool for running a beauty business. When you use SuiteCal, you enter personal information about your own clients so you can book them, keep records, and provide your services. This includes details such as client names, phone numbers, email addresses, appointment history, lifetime spend, photos, notes, intake form responses, and e-signatures.
You decide what client information to collect and enter. You are responsible for having a lawful basis or the consent you need to collect and store this information about your clients, and for telling your clients how you use it. SuiteCal processes this client data on your behalf to provide the service to you. We do not use the client data you enter for our own marketing or advertising.
If one of your clients wants to access, correct, or delete the information you hold about them, they should contact you directly. We will help you respond to those requests when you ask us to.
3. How We Use Your Information
- •Provide & improve the Site. To authenticate you, process bookings, and enhance features.
- •Communicate. Send transactional messages (e.g. confirmations, reminders) and service updates.
- •Send notifications. If you enable push notifications, we use your device push token to send you alerts such as new bookings, reminders, and messages.
- •Marketing. With your consent, send promotional emails about new features or offers. You may opt out at any time.
- •Compliance & security. Detect fraud, enforce our Terms, and protect our users.
4. Sharing & Disclosure
- •Service providers. We share data with trusted vendors for hosting, payments, analytics, and email/SMS delivery.
- •Product service providers. To run the SuiteCal product, we share data with Square for payment processing (we do not store full card numbers), Twilio for sending SMS messages, Firebase and Google for push notifications and hosting infrastructure, and Intercom for in-app messaging and support. Each provider processes this data only to perform its service for us.
- •Analytics services. We use Google Analytics 4 and Microsoft Clarity on our marketing website and PostHog Cloud in our web application to understand user behavior and improve our services. These services may collect and process usage data according to their respective privacy policies.
- •Legal requirements. Disclosure if required by law, regulation, or legal process, or to protect rights and safety.
- •Business transfers. If we merge, are acquired, or sell assets, your data may be transferred as part of the transaction.
5. SMS / Text Messaging
If you provide your mobile phone number and consent to receive text messages, SuiteCal and the business you book with may send you appointment-related SMS messages, including booking confirmations, reminders, rescheduling updates, cancellations, and follow-up or aftercare messages.
We collect and use your mobile phone number, booking details, and messaging consent information to provide these SMS communications and related customer support.
Message frequency may vary based on your bookings and appointment activity. Message and data rates may apply.
You can opt out of SMS messages at any time by replying STOP. For help, reply HELP.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and service providers that facilitate SMS delivery on our behalf.
6. Data Retention
We keep your personal data as long as your account is active or as needed to provide services. We may retain or archive data to comply with legal obligations, resolve disputes, and enforce our agreements.
7. Security
We implement industry-standard measures to protect your data from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission or storage is 100% secure.
8. International Transfers
Our infrastructure, including all data storage and processing, is hosted exclusively in the United States. By using the Site, you consent to the transfer, storage, and processing of your personal information in the U.S. under this Privacy Policy.
9. Users
The Site is not intended for children under 18. We do not knowingly collect personal information from minors. If you believe we have, please contact us to delete that information.
10. Your Rights
You may access, correct, or delete your personal data by logging into your account or contacting support@suitecal.com. We will respond within a reasonable timeframe.
11. Changes to This Policy
We may update this Privacy Policy by posting a new version and updating the date above. Continued use after changes means acceptance of the updated policy.
